Terms of use

Last updated 28 October 2026

These terms govern your use of MindcrestAI, operated by Aimed Systems Pvt Ltd (“we”, “us”). By signing in you agree to them. If you use MindcrestAI for an organisation, you confirm that you may accept these terms for it.

1. The service

MindcrestAI helps psychiatrists manage patients, sessions and follow-ups, record and transcribe sessions, and get AI-drafted analyses, notes and answers grounded in the patient's record.

2. Accounts

  • Access is by invitation. An admin adds you with your Google email and you sign in with that Google account.
  • Keep your Google account secure. You are responsible for what happens under your account.
  • Tell us straight away if you think someone else has used your account.
  • Admins can deactivate an account at any time.

3. AI is decision support

Transcripts, risk scores, flags, summaries, note drafts and chat answers are produced by AI and can be wrong or incomplete. They support your clinical judgement and do not replace it. MindcrestAI is not a diagnostic device and does not give medical advice. Review every output before you rely on it; diagnosis, treatment and safety decisions remain yours. In an emergency, follow your usual clinical and emergency procedures.

4. Patient data and consent

For the patient data you enter or record, you are the data fiduciary. You agree to:

  • get the patient's informed consent before recording a session and before entering their data, including a parent's or guardian's consent for anyone under 18;
  • record only what you need to provide care;
  • meet your professional confidentiality and record-keeping duties;
  • handle patients' requests about their data, with our help where needed.

We process patient data only on your instructions to provide the service, as described in our privacy policy.

5. Acceptable use

You agree not to:

  • access data you are not authorised to see, or try to get around access controls;
  • upload unlawful content, malware or data you have no right to use;
  • disrupt, overload, probe or reverse engineer the service;
  • share your access with anyone else.

6. Your content

You keep all rights to the data and files you add. You give us permission to store and process them only to provide the service to you. MindcrestAI, its software and its design belong to us or our licensors.

7. Third-party services

MindcrestAI relies on Google sign-in and Calendar, and on the providers listed in the privacy policy. Your use of Google services is also subject to Google's terms.

8. Availability and changes

We work to keep MindcrestAI available and accurate, but it is provided “as is” and may be interrupted for maintenance or reasons beyond our control. We may change features over time. Keep your own copies of anything you must retain.

9. Liability

To the extent the law allows, we are not liable for indirect or consequential loss, or for clinical decisions made using MindcrestAI. Nothing in these terms limits liability that cannot be limited by law. Commercial terms, including fees and any liability cap, are set in your organisation's agreement with us.

10. Ending use

You can stop using MindcrestAI at any time. We may suspend or end access if these terms are broken or to protect patients, users or the service. When access ends, data is handled as described in the privacy policy.

11. Changes, law and contact

We may update these terms and will post changes on this page. Continuing to use MindcrestAI after a change means you accept it. These terms are governed by the laws of India. Questions: privacy@mindcrestai.com.
